Global communication portal for invoice outsourcing
This customer, with presence in 96 countries, creates and sends a few million documents per year. Each local branch had its own administrative staff taking care of the invoicing process.
The UnifiedPost communication solution is a web based invoice portal used by local authorized staff. Each local branch sends its own type of file to the UnifiedPost platform. The platform creates the document and presents it on the communication portal website. On that location the document is waiting to be confirmed. If confirmed, the sender of the document adds the delivery mode (eg. local printing, international sending, priority, hand delivery by sales rep., registered mail,…) or the delivery mode is “mined” on the document via an automated process.
Once the document is sent according to the SLA standards, it can be followed via the track and trace website. Archived data can be online reviewed by the document owner.
The whole process is an automated process, taking care of 126 types of letterheads, a multiple number of envelopes, 800 concurrent users, 10 different delivery modes, 17 postal companies and 5 global print locations.
Currently pilots regarding e-invoicing are taking place.
Via this communication portal, the company could smoothly centralize and outsource a local process. By offering different print locations around the globe, special attention is given to the speed of delivery of the invoice.
This project is so successful because of the powerful logic script engine, which is able to turn this former local manual work into a centralized automated process. The result is a massive cost reduction on labour!
