Reception and office

  • You operate from the reception desk in La Hulpe offices in a 9:00h to 17:00h mode from Monday to Friday

  • You are responsible for all-round and procurement tasks linked to the office:

    • First-line for the phone in a friendly and professional way.
      Your Dutch and English are perfect, and French is at a good level.

    • Order of drinks, cookies, etc…with the supplier Solucious.
      Reception of the order. Fill in the fridge and the armoires.

    • Same for order placement of the office furniture with the assigned supplier. 

    • Take care of the coffee, filter, cleaning tab, (machine, contracts, daily cleaning, …).

    • In charge of the command of the business lunches.

  • In charge of the printer-scanner (contracts, follow-up, management of the problems).

  • Process the delivery of the fruit (contracts, follow-up, distribution).

    • In charge of the daily mail scanning and distribution.

    • Welcoming visitors (inform the person, propose a drink,…)

    • Management of the meeting room and prepare it if asked (drinks, coffee, cookies,…).

    • In charge of problems of the office in general like the lights, the toilets, the dishwashers, the coffee machine etc…)

    • Contact with the Facility Manager also related to our other location in the Netherlands (Lelystad/Breda) and Belgium (Ghent/Antwerp).

    • Contact with the extern cleaning team.

    • Booking of all travels (direct searches and partly through travel agent).

    • Assist in preparation of Board Meetings and other in-house events (copies, meeting room bookings).


Human Resources support

  • Management of the entree badges (incl. received and return forms).

  • Command of the Sodexo meal voucher card and follow-up.

  • In charge of the management of mobile phone contracts. Updating of the phone list.

  • Other occasional support for HR-matters.
